A QR code seating chart your guests can actually use

Instead of a large printed chart that creates a crowd at the door, you print one small sign with a QR code. Guests scan it with their phone camera, type their name and see their table. When your plans change, the printed sign stays the same.

How a QR code seating chart works

  1. Add your guests and tables in the seating builder, or paste your guest list from a spreadsheet.
  2. Publish your guest page. SeatingQR creates a QR code that points to it.
  3. Print the sign (5×7 card, tent card or poster size) and put it at the entrance.
  4. Guests scan, type their name and see their table. No app and no account.

Why couples switch from a printed chart

  • No crowd at the entrance. Every guest looks on their own phone.
  • Last-minute changes are instant. Move a guest at 4:59 pm and the same sign shows the new table.
  • One sign instead of a large board, a frame and an easel to transport.
  • Guests can also see the schedule and menu, and on the Wedding plan who sits at their table and your registry.

What if a guest can't or won't scan?

Plan for it. Put a printed alphabetical list beside the sign, and ask a bridesmaid or the venue host to help anyone who needs it. SeatingQR can generate that alphabetical backup list from your dashboard in one click.

The guest page also has a large-text mode, and it keeps working after the first load if the venue's signal is poor.

Where to put the sign and how many you need

  • Put the main sign at the entrance to the reception, at standing height and in good light.
  • For more than about 100 guests, add a second sign so lines don't form. A tent card on each bar or at the cocktail-hour exit also helps.
  • Leave white space around the code and print it at least 2 inches (5 cm) wide so older phones scan it quickly.

Frequently asked questions

Do guests need to download an app?

No. They scan the code with their normal phone camera and the page opens in the browser.

Is a QR code seating chart free?

SeatingQR is free for up to 40 guests, including the seat finder and the printable QR sign. The Wedding plan is a one-time $59 for unlimited guests and extras like tablemates, a photo wall and a guest book.

What if the venue has no cell signal?

The guest page saves itself on a guest's phone after it first opens, and you can print an alphabetical backup list. If you know the venue's signal is bad, ask the venue about guest Wi-Fi.

Can guests see private details about other guests?

No. Guests only see their own table and, on the Wedding plan, the names of the people at it. Notes, seating rules and dietary details stay in your dashboard.
